2. Information we may collect

Depending on how you interact with Barbelle Strength, we may collect information including:

  • your name;
  • email address;
  • telephone number where you choose to provide it;
  • enquiries and correspondence with us;
  • the Barbelle Strength services you are interested in;
  • your previous strength-training experience;
  • booking and coaching information if you become a client;
  • payment and transaction information where applicable; and
  • information you choose to provide in connection with your coaching.

If you become a coaching client, we may also need to collect information about your health, injuries, medical history or other factors relevant to safe participation in exercise.

Health information is considered special category personal data under UK data protection law and will be treated with additional care.

We aim to collect only the information reasonably necessary for the purpose for which it is required.

3. How we use your information

We may use your personal information to:

  • administer the Barbelle Strength waitlist;
  • respond to enquiries;
  • provide information you have requested;
  • manage bookings and coaching services;
  • communicate with you about your coaching;
  • maintain appropriate client and business records;
  • fulfil our legal and regulatory responsibilities;
  • improve the services we provide; and
  • send marketing communications where we have an appropriate lawful basis to do so.

We will not sell your personal information.

We will not provide your information to another organisation for that organisation’s own marketing purposes.

4. Our lawful basis for using your information

UK data protection law requires us to have a lawful basis for using personal information.

Depending on the circumstances, we may rely on:

Consent — where you have actively chosen to receive particular communications from us, including email marketing where consent is required.

Contract — where processing your information is necessary to provide a service you have purchased or to take steps at your request before entering into a coaching agreement.

Legitimate interests — where it is reasonably necessary for operating and improving Barbelle Strength, provided those interests do not override your rights and interests.

Legal obligation — where we need to retain or use information to comply with a legal requirement.

Where we process special category information such as health information, we will also identify an appropriate additional condition for processing that information as required by data protection law.

5. Waitlist and email marketing

If you join the Barbelle Strength waitlist, we will use your contact information to administer the waitlist and provide the information you requested when registering.

If you separately choose to receive marketing emails, we may also contact you about Barbelle Strength coaching, programmes, availability, news and offers.

Where consent is the basis for marketing, you can withdraw that consent at any time.

Every marketing email will provide an appropriate way to unsubscribe, or you can contact hello@barbellestrength.co.uk.

Withdrawing from marketing will not prevent us from sending necessary service communications if you are an active client or have an outstanding booking or enquiry.

6. Who we may share information with

We may use trusted service providers to help operate Barbelle Strength, such as:

  • website and hosting providers;
  • email providers;
  • booking or client-management systems;
  • payment providers;
  • professional advisers; and
  • other technology providers necessary to operate the business.

These organisations may process personal information on our behalf only where necessary to provide their services.

We may also disclose information where required by law.

We do not sell personal information or share it with third parties for their own independent marketing.

7. International data transfers

Some technology providers may process or store information outside the United Kingdom.

Where this occurs, we will take reasonable steps to ensure that appropriate safeguards required by UK data protection law are in place.

8. How long we keep information

We will keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including satisfying legal, accounting, insurance and professional requirements.

Waitlist information will be reviewed periodically and will not be retained indefinitely where it is no longer required.

If you unsubscribe from marketing, we may retain limited information necessary to record and respect your preference not to receive further marketing.

Client records may need to be retained for longer periods where required for legitimate business, insurance or legal purposes.

9. Keeping your information secure

We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

Access to personal information will be limited to those who reasonably need it for the operation of Barbelle Strength.

10. Your data protection rights

Depending on the circumstances, you may have rights including the right to:

  • ask for access to the personal information we hold about you;
  • ask us to correct inaccurate information;
  • ask us to delete information in certain circumstances;
  • ask us to restrict how information is used;
  • object to certain uses of your information;
  • receive certain information in a portable format; and
  • withdraw consent where we rely on consent.

To exercise your rights, contact hello@barbellestrength.co.uk.

You will not normally be charged for exercising your data protection rights.

11. Complaints

If you have concerns about how Barbelle Strength uses your personal information, please contact us first so that we have the opportunity to resolve the issue.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s independent data protection regulator, at https://ico.org.uk/.

12. Changes to this privacy policy

We may update this privacy notice as Barbelle Strength develops or if legal requirements change.

The current version will always be available on this website and the “Last updated” date at the top of the page will be amended when material changes are made.
